The paperless office was a prediction of what the office of the future would embody, and came about when the first computer was introduced to the market over thirty years ago. The suggestion was that office automation would make paper obsolete, for routine tasks such as record-keeping and bookkeeping. For many companies, the idea of a paperless office has remained an elucive goal. But this is not the case for Riemer Insurance Group.
Riemer concluded from a study that the two computer systems needed where for retail and for their wholesale divisions. The retail system would consist of ET Files, or software that links current system with paperless, and is the most comprehensive system to be competitive with applied systems.
Both the wholesale and retail systems have distinct types of workflows and policy issuers, as well as a different customer base, which is why they will need to be run separately. Riemer will accomplish this by using brand new state-of-the-art computers with eight servers (WAN/LAN) which services both their Atlanta and Miami offices.
Some efficient benefits will be that everyone can access the system as there will be dual monitors at every station, and workload can be redistributed which leads to faster turnaround. This will increase efficiency to do business to $300,000 per employee which gives the company a chance to grow without adding people. People don’t have to get up to fax because incoming and outgoing faxes will go through computer. Overall, Riemer will have a more proficient work environment, where 3,000 square feet of office space that was home to dozens of filing cabinets will be open space. The insurance agency was able to donate these cabinets to non-profit organizations that the company supports.
Riemer Insurance Group has also realized that their paperless goal will contribute to the environment. The company had been buying one truck load of paper a month, but now they would only require one truck load every three months, saving eight truck loads per year. Instead of giving their clients piles of paper worth of policy information, agents can transmit policies electronically.
Essentially, Riemer will have the highest-tech equipment, highest level of software and versions of systems, including voiceover, an IP telephone system that will enable remote access. A state-of-the-art building will house Riemer with full generator system which will allow company to service clients during windstorm.
Not only is the company striving to reach the paperless office, but they are growing at an extreme pace. They are hiring eighty employees, and are acquiring twelve new properties in 2008 in Hallandale.
